POLICIES

Thank you for your interest in our catering services. We look forward to being a part of your event. The following information will be helpful in planning your function.

ORDERING POLICY

To Provide you with quality service, we require that all food and beverage orders and specific requirements be received a minimum of three business days before your event. Seven days notice is needed for large receptions, dinners, and custom orders. Orders placed with less than 48 hours notice will be based on product and staff availability.

All food and beverage charges are subject to applicable taxes


To ensure the success of your event, please note the following regarding guarantees:

    -Guarantees are required 3 business days before your event.

    -For events with 300 or more guests, guarantees are required 7 business days prior to the event.

    -Food guarantees must be considered final 3 business days prior to the event.

    -Please contact the Dana Hospitality Catering Director at amela.bojic@dexterra.com if you need to increase more than 10%

      -Increases to food guarantees: every attempt will be made to accommodate an increase, in the case there is more than a 10% increase, a comparable substitution will be recommended.

    -Billings are based on the guarantee or the actual, whichever is higher.

 

DIETARY RESTRICTIONS

We will do our best to accommodate any dietary restrictions that may arise during the planning of your event. Please be sure to notify the Conference & Event Services | Hospitality & Ancillary Services at confserv.utm@utoronto.ca.

Dietary restrictions are due at the time of the final guarantee. Depending on the number and nature of these restrictions, additional charges may apply for dietary restrictions that require meal to be brought in (i.e., Kosher items).

Our kitchen is not a nut-free or gluten free environment, while we will take reasonable precautions note that our there is no guarantee that any products will be nut or gluten free.

CANCELLATION/REDUCTION POLICY

-Cancellations / Reductions received less than 72 business hours before the function will be subject to a cancellation fee of 50% of all anticipated charges.

-Cancellations / Reductions received less than 48 hours before the function will be subject to a cancellation / reduction fee of all anticipated charges.


LAST MINUTE REQUEST POLICY

This policy outlines how last-minute requests – such as new orders, changes or additions – are managed to ensure fair, efficient and high quality service for all clients.

A “last minute request” refers to any of the following made within 72 hours of the scheduled service or event.

-New order request

-Change to existing orders

-Changes to guest count, to account for decreases

-Modifications due to dietary restrictions

-Time or location changes


Last – minute requests are subject to availability of staff, ingredients, and scheduling capacity. A substituted menu or chef selection may be offered based on ingredients availability.

PERISHABLE FOOD POLICY

In accordance with food safety regulations, no food may be removed from your event. Take home containers will not be provided. Once an order has been delivered and dropped off, responsibility for the food rests with the event host.

ORDER REQUEST TIMING POLICY

-Cutoff Time: Orders must be placed before 3:00 pm.

-If an order is received after the cutoff time, the request is considered as submitted on the next business day.

-Business Hours: Monday to Friday (excluding holidays)

Menu minimums are specified throughout the menu. Please ensure that minimums are met when placing your order. Additional fees may apply if minimums are not met.

CUSTOM MENUS

This policy applies to all custom menu requests made by individuals or organizations, including but not limited to private events, corporate functions, and special dietary accommodations.

Custom Menu Request: Clients who wish to have a custom menu created must submit requests at least 2 weeks in advance via email at diana.andrade@dexterra.com (Culinary Director), with a CC to amela.bojic@dexterra.com (Catering Director) and respective Special Events Coordinator from UTM Conference and Event Services.

Information Required:

-Event Type and Date

-Number of Guests

-Dietary restrictions or preferences

-Budget (if applicable)

-Preferred Cuisine or dish Types


CUSTOM MENU PRICING

-A detailed quote will be provided before confirmation and once a custom menu is approved

-A $65 Custom Menu Creation will be charged regardless of if the menu is used or not

-All Custom Menus are subjected to a price and product availability review each time they are requested to be used

-Custom Menus created will become a part of a library of menu options.

CAKE CUTTING FEE

A cake cutting of $1.00 per person will be applied, this fee will include a service team member to cut and plate the cake for the event.

Should customers wish to cut their own cake, no fee will be applied. Cake set up and disposables will be provided.

SERVICE

All prices quoted include sustainable service ware. (Plates, Flatware, Cups etc.) which will be collected after your function. As we strive to maintain a sustainable service, we do offer disposable plates upon request. For events over 250 attendees, will require china rentals for a fee. Additionally, linen beyond what is required for buffet tables is available for an additional fee, please inquire with the Dana Hospitality Manager

Deliveries do not include service staff; we would be pleased to provide you with our professionally trained service staff for your event at a rate of $35.00/hour per server (min Four hours per server). Catering Chefs are available for a charge of $40.00 per hour for a minimum of four hours. Please note that for certain menu items or large orders that require service staff to stay on site these costs are built into the menu items. (i.e., Carving Station)
